Task for your VA

Worried you won’t have enough to fill your VA? While having a defined role, should be doing all the things that take you away from your one thing.

Sometimes, that means doing personal stuff or things that are just holding you up (or causing you unncessary stress) so you can get back to doing what you need to do to grow your business.

Here’s a list of random things I’ve had my VA do that I either didn’t want to do, didn’t have the time to do or just felt like I didn’t need to be the one to do.

  • Scheduling doctor appointments
  • Coordinating an appointment to get my dog groomed
  • Researching gifts for weddings, birthdays, etc.
  • Making reservations at restaurants
  • I’ve had a fitness accountability group in WhatsApp since 2018 and while it only takes me 2 mins to track, I hate doing it so she does that now
  • Prepping the slides for my BNI group and reviewing the numbers to let me know who’s slacking off so I can follow-up with them to coach them through it
  • Handling tech support issues for you guys (when someone has an issue with their account, most of you email/DM me but she’s the one who actually fixes it)
  • Letting other parties know when I’m running behind for an appt
  • Researching people before I meet with them so I can figure out what we have in common and how to best connect with them
  • Researching whatever random idea pops in my head at the moment and sends me a summary of articles or videos about that topic
  • Coordinating my schedule between groups of people
  • Buildling lists of people to start nurturing (for example, divorce attorneys)
  • Updating me daily about our clients – who is seeing properties w/ my showing agent, who hasn’t favorited anything and who is requesting an update to their property search
  • And now that I think about it, I’m going to build a system for her to start updating agents and referral partners about the referrals they send me so that they get the update but I don’t have to remember to do it 

This is an entirely non-exhaustive list because there’s always random stuff that I voice message her and ask her to do. This is just the stuff that I could think of off the top of my head.

I can wear a lot of hats and do a lot because she helps me keep my promises — and I can do it without burning out.

After all, I’ve heard it said that burnout is what happens when you do the same thing repetitively without growth.

Disclaimer: With that said though, I STRONGLY recommend NOT bringing a VA on until you have an established process or else it’s going to feel like managing them is just another task on your list instead of removing stuff off your plate. In fact, I really don’t even recommend taking on a VA until you’ve gone through Systems 2 for that exact reason.
